Notifications & Emails
An overview of every notification and email Toolbee can send you — what they're about, and who receives them.
Toolbee keeps you updated in two ways: push notifications (to the mobile app/browser) and email. Many notifications can be sent both ways — most push notifications are also sent by email if the recipient has turned on "Push by Email" under their personal settings.
🔔 = push notification, 📧 = email. Below is an overview of every notification and email the app can send, what it's about, and who receives it.
Tool activity
- Tool changes (Watching) 🔔📧 — Tap the heart icon "Watch" on a tool to be notified when it's renamed, moves warehouse, changes holder, gets deleted, or when stock drops below/rises above a set threshold.
- Tool handed to you 🔔📧 — You're notified when someone gives you a tool. Controlled by "Push on receive" in your personal settings; if it's off, you won't get this notification at all.
- Return overdue reminder 🔔📧 — A daily reminder to the current holder for as long as the tool's return date is in the past.
- Tool error reported 🔔📧 — When a user reports a problem with a tool, admins are notified immediately (can be turned off per admin).
- Tool maintenance reminder 📧 — A weekly email to admins about tools with an upcoming "next attention date" (calibration, service, etc.).
Reservations & warehouses
- Reservation conflict alerts 🔔📧 — Notifies the booker and/or current holder if a reserved tool is taken by someone else, or hasn't been returned before a booking starts. Requires the Booking module.
- Booking changes summary 📧 — A periodic summary to the warehouse's notification address of new/cancelled reservations. Turned on via "Notify on reservations" on the warehouse page. Requires the Booking module.
- Warehouse take & restock 📧 — An email to the warehouse's notification address when tools or stock are taken out or returned. Turned on per warehouse under "Notify on takes" / "Notify on gives".
- Inventory count 🔔📧 — A push to every user when a stocktake starts, and an email with the result file (CSV/Excel) to admins when it ends. Requires the Reporting module.
Reports & exports
- Weekly log export report 📧 — Every Monday, to the Report email address(es) set in Company Settings. Includes a CSV and Excel workbook of the event log, consumption and stock. Requires the Reporting module.
- Internal usage invoice 📧 — Every Monday, one email per order marking, to the Internal invoice email address set in Company Settings. Includes a PDF and a spreadsheet. Requires the Reporting module.
- Tool list export 📧 — An admin can request an Excel export of the entire tool list at any time from the app's info menu; sent to their own email.
Orders & printing
- Shop order updates 🔔📧 — Confirmation when you order QR labels in the Shop, notice when it ships (with tracking info), and if it's cancelled.
- Print job status 🔔 — A push notification confirming a print job succeeded, or that the printer is out of paper or unreachable. No email fallback.
Account & billing
- Welcome email 📧 — Sent to new users, and to admins creating a new company/department.
- Trial & billing reminders 📧 — Sent to admins 7 and 3 days before a trial expires, and when it expires. Doesn't apply to companies on Invoice or Stripe payment.
- Account deletion notice 📧 — Sent to admins when a user deletes their own account.
Support
- Support ticket updates 📧 — Confirmation to the reporter when a support ticket is created (by email or the in-app support panel), and updates to all subscribers on the ticket when there's a new reply.
You control what you receive, and how, under Settings → Notifications in the app — including push notifications per device, "Push by Email", and (for admins) error and reminder reports.
